Use this resource to structure a planning meeting and capture the questions that need a decision, more evidence or a clearly assigned owner.
How to Use the Questions
Choose the questions relevant to the current stage of the project. For each one, record the current answer, the evidence behind it and the next action. An unanswered question is useful when it identifies what the team needs to investigate.
Purpose and Audience
- Who is the workspace intended to serve?
- What types of work should members be able to do there?
- Which parts of the proposed offer matter most to that audience?
- What information supports the audience assumptions?
Space and Location
- Which work settings belong in the brief, and why?
- What site information is available for review?
- Where could privacy, noise or movement require particular attention?
- Which questions need input from a project specialist?
Operations and Member Experience
- What should a new member know on the first day?
- Who prepares the space before members arrive?
- How does a member ask for help, and who owns the response?
- Which routines need written guidance so they do not depend on one person?
Communication and Readiness
- Does the published description match the intended service?
- Which details are confirmed and which are still provisional?
- What must be resolved before the next project stage?
- Who will make the decision and record its basis?
Close the Meeting with an Action Record
Summarize each open item in one line: the question, its owner, the information needed and the next review point. Group unresolved items by the decision they affect. This makes the record easier to revisit than a general list of observations.
Use the project brief outline to turn the answers into a document for the next conversation.
